SIAM / BOX Organization and File System Structure | Evolve Media

One of the biggest and most ambitious projects I undertook at Evolve Media was the creation of the internal design asset management process… TWICE!

The first iteration of this system I created closely with my Creative Director, Manuel Donayre. A few years later, I took the task on myself to completely revamp the system to work better with the company’s evolved business processes.

Nicknamed SIAM (an acronym I created to stand for Sales Integration Asset Manager) the most recent iteration of the system was located on third party service box.com and was accessible only to designers and internal stakeholders on the marketing team. Taking into account the company’s complex and diverse creative needs, I devised a system that created an easy-to-use network of folder structures and naming conventions with the goal of uniting creative teams in Los Angeles, New York, Canada, Mexico, Serbia, and the Philippines.

This structure housed creatives for every single creative need from the Creative Services design team including Sales, Pre-Sales, Corporate, and Editorial.

Main Level

The main level presents designers with two options: RESOURCES or EVERYTHING ELSE.

  • Resources – Pictured below in the second thumb nail, this folder contained useful resources for designers including fonts, stock imagery, spec sheets, and templates.
  • Everything Else – Less daunting than it may look at first, the remaining folders are all laid out identically. Each folder represents one of the company’s dozens of brands. More on that below.

Everything Else

Each of the “Everything Else” folders had the exact same layout as shown below. The contents of that “property” folder contained all design resources relating to that brand including Active and Completed Sales Campaigns (for custom ads, integrations, etc.), Corporate Design (for marketing materials, one sheets, etc.), Decks (for general presentation, toolkits, etc.), Brand Book (identifying logos, colors, business systems, etc.), Business Card (templates to generate cards for every brand), Editorial (graphics that would accompany articles), Fonts, Letterhead, Logo, and Website.

Each folder was further organized by the company’s four operating countries of US, CA, UK, and AU. The unified system made it easy for us to find anything relating to any of our dozens of brands. If the file existed, it would be trackable! This was especially useful having dozens of designers working in different countries on different timezones.
